How to Host

Who hosts Exhibit Envoy's exhibitions?

Museums, galleries, libraries, nature centers, schools, colleges, and other locations with public exhibition spaces such as corporate lobbies. Since 1988, more than 150 cultural organizations across California - and across the United States - have hosted our exhibitions.

What types of exhibitions does Exhibits Envoy offer?

We create exhibitions with two audiences in mind: you and your community.

Our exhibitions include art, history, culture, and natural history content. These exhibitions come in all shapes and sizes and may include 3-D and framed art, artifacts, hands-on components, text panels, and audio and video components. We offer a variety of exhibition choices—from simple banner shows that you can augment with your own collections to full-scale original contemporary art shows.

How big are these exhibitions?

Exhibit Envoy specializes in helping small and medium sized gallery spaces. Shows range in size from 500 to 2,000 square feet or 50 to 250 linear feet.

What are the rental fees?

We provide a broad fee structure for exhibitions that makes it easy on you and your budget. Exhibit Envoy’s rental fees range from $350 to $5,000 per booking. Members of Exhibit Envoy enjoy a rental fee discount.

How long are the rental periods?

Typically, exhibits are rented for 8 weeks. However, we are happy to work with you for shorter or longer rentals, although the shortest rental we can accommodate is 4 weeks.

What are the Facility Requirements to host an exhibition?

Environmental and Security Requirements for exhibitions vary, depending on its size and content. They range from Limited to Moderate to High Level procedures.

What about insurance?

Exhibit Envoy insures all of our traveling exhibitions door to door. For general liability, host venues are required to submit a Certificate of Insurance.

How does Exhibit Envoy help with my booking?

We work with you to ensure an easy booking experience and a successful showing at your site.

From your first call or email to the day the exhibition is shipped out, we are here to answer all your questions. Our host service includes a straightforward booking process, access to marketing and programming information, a comprehensive exhibition manual and installation instructions, and easy to follow shipping instructions.

Members of Exhibit Envoy enjoy additional benefits, including shipping coordination, onsite technical assistance, and access to our network of museum professionals who can further assist in exhibition planning and installation.

How do I book and exhibition?

Booking through Exhibit Envoy is completed in just five steps.

  1. Select your Exhibition Browse our list of current exhibitions.
  2. Contact one of our staff Envoys. Call us at 415.525.1553 or email info@exhibitenvoy.org
  3. Reserve your Dates - Talk with an Envoy about your exhibition needs and ask us to us hold your desired dates.
  4. Submit your Facility Report - Complete a short-form Facility Report and send to info@exhibitenvoy.org. Environmental and Security Requirements for Exhibit Envoy’s exhibitions range from Limited to Moderate to High Level procedures. For exhibitions with High Level requirements, we may request a site visit to get to know your facility better.
  5. Secure your Booking.

After we review your facility report, we will send you an Exhibition Rental Contract to sign. We require a 25% non-refundable deposit that secures your booking. The remainder of the rental fee will be invoiced 30 days prior to your opening date.

What else is required?

All host venues are asked to submit a Final Report that details your exhibition experience, programming, and attendance stats.

How is shipping coordinated?

Shipping costs are paid for by the host venue and Exhibit Envoy will provide a list of preferred shipping companies. This may include inbound and outbound costs unless there is a venue following yours, then you pay inbound only.

Members of Exhibit Envoy receive shipping coordination to and from your venue. Non-members may request this service for an additional $100.

What else do I receive for my rental fee?

You receive a complete package: a ready-to-install product, full press materials, public program access, interpretive and gallery materials, and the commitment of our staff to assist you in any way to ensure a successful booking and public experience. Members of Exhibit Envoy receive additional services including shipping coordination.
